Receptionist
JOB DESCRIPTION

Hospitality

  • Greets and welcomes all employees, students, and visitors warmly
  • Act as hospitality coordinator for certain groups as directed by supervisor
  • Makes coffee in the morning and distributes to the various areas of the office
  • Keeps coffee areas stocked with fresh coffee and supplies
  • Directs people to appropriate waiting areas or conference rooms
  • Politely turns away all solicitors

Phone

  • Answers phone politely and with a sense of patience and a desire to be helpful
  • Manages phone calls while also acknowledging visitors to front desk in a polite way
  • Routes all phone calls to the appropriate party

Front Desk Service

  • Receives payments for sessions, tuition, and all other payments
  • Runs credit cards and keeps track of all credit card deposits
  • Accepts and maintains room reservations for all rooms

Registrar

  • Accepts registrations for CCCG workshops
  • Keeps track of those who have registered and paid
  • Answers logistically inquiries about workshops and forwards content inquiries to workshop leader
  • Requests payment from Accounts Payable for all workshop leaders

Georgia Baptist Shepherding Program

  • Maintains all records of providers of program
  • Accepts request for co-payment
  • Makes request for co-payment from Georgia Baptist monthly and from CCCG Accounts Payable

SOS batches

  • Receives all SOS batches from counselors and residents
  • Checks batches for completeness and reconciles transmittal sheet with money turned in and then gives counselor/resident a receipt showing that their batch was received and accepted
  • Separates all money from batches and provides batches to the Billing Office for entering into billing system

Bank Deposits

  • Responsible for creating all bank deposits
  • Separates deposits between fees (those for counseling revenues) and non-fees (all others)

Facilities Management/Office Management

  • Waters all plants
  • Keeps workrooms (upstairs and downstairs) in order and notifies business office when supplies are needed
  • Keeps kitchen in order
  • Accepts maintenance requests and forwards them to business office
  • Assists as needed with setup of rooms and support of A/V equipment

Security of building

  • Opens building in the morning including turning off alarm and unlocking front door
  • Opens common rooms
  • Turns on lights

Marketing Support

  • Making sure marketing materials are printed and available, including brochures, letterhead, envelopes, business cards, and marketing packages
  • Helping to maintain website

Other Support

  • Administrative and clerical support of management and leadership with prior approval from supervisor

Hours

  • Monday through Friday, 7:45 AM – 4:30 PM

Supervisor/Manager

This position will report directly to the Chief Financial Officer/Chief Operation Officer.

Qualifications – Required

  • Education: 4 year Bachelors degree
  • Skills: computer proficiency, customer service, interpersonal, communication-oral, communication-written

Qualifications – preferred

  • Education: 4 year Bachelors degree in Business Administration or similar field
  • Experience: 1-3 years experience working in a nonprofit or faith-based organization
  • Skills: Ability to organize, ability to multi-task while remaining calm and pleasant, autonomous, initiative, self-starter, committed to the mission of Care and Counseling Center of Georgia

Compensation

  • Competitive salary: $30k-$35k
  • Medical benefits (100% of Employee’s premiums are paid by Employer)
  • 3 weeks vacation
  • 2 weeks sick leave
  • Employer paid 403b (up to 3% of salary)
